Job Summary and Purpose The purpose of this job is to provide Executive Management Services support reporting to Business Support Services Manager to improve the quality of planning, coordination, implementation and message conveyance of organization-wide programs, documents, presentations & reports, which deliver value to the business by enhancing management decision-making & facilitating shared directional understanding/organization alignment. The range of job tasks and duties require demonstration of multi-tasking, attention to details, accuracy, time-management, supervision, planning, organization and communication skills to execute the following core responsibilities: Business Planning & Budget, Business Performance Reporting, Executive Management Meetings, Marketing channels, Business Process Facilitation, Nakilat Keppelite Recreation Committee (NKRC) activities and other responsibilities.

Business Planning & Budget Accountable to BSS Manager to coordinate, consolidate, format & enhance the 5-year Business Plan package for annual approval & quarterly review basis, through the delivery of high-quality presentations, reports & support documents that clearly and concisely summarize and convey key strategy, plans, initiatives, information and data for Executive Level management decision-making and approval. Business Performance Reports and Management Meetings Accountable to BSS Manager for implementing the planning, coordination, verification, consolidation and timely submission of accurate periodic report documents and high-quality management presentations that clearly and concisely convey plans/actions, information and data for decision-making by Executive Level management and respective stakeholders in N-KOM, Nakilat and QatarEnergy: Weekly – Organizing and collating Management Meeting Presentation Materials, Action Items Updates from respective Departments, preparation, clearance and dissemination of Meeting Minutes within 24 hours after each meeting.Weekly – Collating and submitting COVID-19 matters related updates and data for regular Business Continuity Management (BCM) Meeting with CEO and Senior Management with N-KOM HSSE.Monthly – Initiating and collating Joint Venture Senior Management Team (JV SMT) Meeting updates comprising Safety Statistics, Incidents report, Business generated, Projects completed, Year to Date (YTD) performance, Process Improvements, Outstanding Issues Update, Manpower requirement and COVID-19 status, for CEO’s review and presentation followed by monthly submission to Nakilat Legal.Monthly – Leading the effort in organizing and collating Enterprise Level Report comprising Agreements, Insurance Policies, Lifting Equipment, Qualifications & Certification Register and Time Bound Contracts; ensuring accuracy and monthly submission to Chief Shipyard Management Officer thereby delivering value and safeguarding the company so that it is not exposed to adverse impacts of lapses in these requirements.Monthly – Leading the effort in organizing and collating Modification to Premises & QatarEnergy Infrastructures and Property Damages Register for CEO’s review followed by monthly submission to Chairman.Bi-monthly – Organizing and collating updates on Strategic Initiative meeting agenda and action items that drives stakeholder responsiveness to deliver value through continuous business movement.Quarterly – Leading the efforts in preparation of the State Support Report, comprising Quarterly Performance Review, KPIs performance, Office and Workshop utilization by 3rd parties, Annual Strategy for Maintenance and Maintenance Staff Competency to QatarEnergy, RLIC Port Management, that was developed to monitor the progress and performance improvements of our yard.Quarterly – Leading the effort in preparation of the Enterprise Risk Management (ERM) Report comprising Control Measures, Mitigating Actions, Plans/Forecasts, and Progress updates to Nakilat Corporate Planning and Risk thereby delivering value through safeguarding the company from exposure to the financial, operational and reputational impacts of various risks and highlighting the risk management practices adopted by the organization.Quarterly – Initiating and collating N-KOM BoD Meeting Presentation Materials, Reports, Action Items Updates for review by CEO prior to timely submission of hard and soft copies to BoD Secretary – Nakilat Legal Counsel. Quarterly – Collating N-KOM inputs/updates to Nakilat BoD Meeting for BSS Manager review prior to timely submission of soft copy to CEO followed by timely submission to BoD Secretary – Nakilat Commercial & Business Development.Bi-annual – Collating Shipyard Meeting Presentation Materials, Action Items Updates and Meeting Minutes for BSS Manager review prior to submission to CEO followed by onward submission to Chairman and circulation to QatarEnergy Focal Point.Bi-annual – Collating and conducting the review of Shipyard Obligation under Joint Venture Agreement & Access & Indemnification Agreement by CEO.Annual – Collating and organizing N-KOM inputs towards sustainability best practices / standards and ensuring timely submission/response to Nakilat SHEQ in accordance to the Reporting Framework for the preparation of Annual Nakilat Sustainable Development (SD) report.
N-KOM MarketingCoordinating contents, support information, data and images for update of the following:Bi-Weekly – Publication of LinkedIn posts about the Achievements, Capacity and Capabilities of N-KOMQuarterly – Submission of Corporate Newsletter cleared by CEO, to Nakilat PR for design and layout review followed by dissemination of finalized Newsletter to Staff, Agents, Clients, Stakeholders and N-KOM SharePointQuarterly – Collating and organizing the review and updates to N-KOM Website and SharePointQuarterly – Collating and organizing the review and updates to N-KOM Corporate Presentation Bi-annual – Collating and organizing the review and updates to N-KOM Corporate Brochure
Business Process Improvement / CommunicationsSupport initiatives/tasks assigned to BSS Manager as Focal point In-house / Facilitator to work with various Departments/Sections, Stakeholders to lead, facilitate and coordinate review of current / new systems, processes, improvements and communicate management requests / updates as part of better accountability, engagement, documentation, tracking and monitoring of progress.
Nakilat Keppelite Recreation Committee (NKRC)Facilitate N-KOM’s efforts at improving Welfare, promoting Healthy Lifestyle and Work-Life Balance amongst staff by serving as the NKRC Secretariat, led by BSS Manager, responsible for planning, budget control, coordination, publicity and organization of various Nakilat-Keppel Recreation Committee (NKRC) events/games and National Sports Day events/games at LGV Camp in coordination with GS Hub and LGV Camp Operator.Other responsibilities:Comply to all relevant HSSE policies, procedures, instructions and controls that the Company provides to ensure a safe, world-class, secure and environment service to staff, clients and stakeholders. Ensure high safety, health, morale, discipline and productivity as a member of the BSS Team.Provide Business Support Services functions to ensure responsive and reliable services support to N-KOM management, staff, stakeholders and clients. Ensure effective management and update of the Document Control Management system for Business Support Services related initiatives, projects, programmes, reports, meetings and presentation materials
Key Result Areas Timely, efficient, quality and uninterrupted execution of processes and outcomes that BSS Manager is assigned to in providing business support services to N-KOM CEO and Management.
Qualifications: Minimum – A graduate degree in any discipline such as Management/Admin/Human Resources or Economics.
