HR Support
–Assist in the recruitment of new staff for the business.
–Conduct references checks, when needed.
–Administer recruitment assessment, when applicable
–Coordinate with Finance for the issuance of offer letter to hired employee, when appropriate
–Help prepare all the resources required by the new hire in coordination with PRO/ Finance/IT
–Identify awardees and create certificates for the monthly competition.
–Coordinate with PRO for the onboarding documents and ensure they are completed and updated.
–Organize training for newly onboarded employees by coordinating with different stakeholders.
–Help organize company’s events by identifying suppliers, venues and catering services as well as designing the program in coordination with finance and support team.
–Collect messages and prepare birthday greeting card for employees celebrating their birthday, when appropriate
–Help organize other initiatives to enhance employee’s engagement, in coordination with finance/ PRO and management.
–Create draft of business process, policies, and procedures in coordination with other support staff and management
–Implement and document approved policies and procedures as well as business processes.
–Update onboarding materials as and when applicable
–Help maintain shared point and shared drive organized and accessible to everyone.
Administrative Support
–Answer / forwarding incoming calls.
–Take note of messages and share it with the team, when appropriate
–Send/accept/process packages and mails to third parties, when needed
–Update the business pipeline weekly.
–Review, approve and publish job being posted on the company’s recruitment portal, as and when needed
–Submit, request and coordinate with marketing agency for any designs and contents required
–Help publish materials on different social media channels.
–Help maintain the company’s website and publish different materials through it
–Assist in completing registration of company’s information on different procurement e-portal
–Help prepare company presentation materials and other tender documentsin coordination with operation and Finance
–Keep a record and ensure updated list of signed contracts of suppliers/clients
–Help in mass email campaigns by generating and collating different data from different sources and validating them
–Help create different online forms
–Research and provide training to employees to help them improve their work efficiency (in terms of use of Word/Excel/Power point/Outlook)
–Research companies that are recruiting and send company introduction through the company’s CRM
–Ensure that all jobs are on the company’s ATS are up to date
–Coordinate with third party suppliers in case operation team is having any technical errors/difficulties in using any of job portals
