Title: Temporary Procurement Coordinator Location: Qatar Org Unit: Finance Work Days: Sunday-Thursday
Position Summary This position is responsible for the procurement of goods and services as delegated by the Procurement Manager. This role works closely with end users to ensure prompt, efficient delivery of goods and services, establishing and maintaining relationships with vendors, service providers and end users to ensure compliance and continuous improvements. Job Responsibilities Maintains contact and consults with end users to prepare specifications for items/ equipment or services as required. Assists in purchasing/acquiring lab supplies and equipment, stationary, pantry items, ITS supplies, software, gift items, books, P-Card purchases, other services (branding, marketing campaigns, hotels, catering and events management etc.). Reviews requisitions, confers with vendors to obtain product or service information such as price availability and delivery schedule. Develops and maintains relationships with vendors and internal costumers for assigned products and services; investigates and identifies new product areas; meets with suppliers and customers. Promptly follows up with vendors to ensure customers’ needs are being met and queries are resolved. Investigates and qualifies suppliers based on forward demand forecasts and simultaneously seeks out new sources of supply. Prepares proposals, quotation requests and bids. Summarizes findings for analysis and decision-making. Negotiates price and delivery with potential suppliers. Assists in defining value according to knowledge of market price. Also prepares and follows up on Purchase Orders. Maintains procurement and contract documents in systematic and auditable manner. Also ensures maintenance of delegated sections of Master Data within the financial enterprise system. Acts as point of contact or backup for P-Card purchases and financial enterprise system training as required Performs other duties as assigned or required. Education Bachelor’s Degree Experience Minimum Bachelor’s Degree in any discipline (preferably administrative sciences) with 2-3 years of relevant experience in procurement of IT supplies, office supplies, books and general services.
Prior working experience in a research, medical or educational environment preferred.
Must be bilingual with proficiency in both English & Arabic. Knowledge, Skills and Abilities Good communication and interpersonal skills to effectively interact with a variety of customers. Strong attention to detail, and ability to multi-task with demanding timeframes. Previously demonstrated ability to work independently. Advanced level proficiency in MS Suite of products including Word, Excel, Access, PowerPoint etc. Ability to use high-level discretion and maintain a high level of confidentiality.
