Receptionist / Admin Assistant Job Responsibilities- Serves visitors by greeting, welcoming, and directing them appropriately.- Notifies company personnel of visitor arrival.- Maintains security and telecommunications system.- Informs visitors by answering or referring inquiries.- Directs visitors by maintaining employee and department directories.- Maintains security by following procedures, monitoring logbook, and issuing visitor badges.- Operates telecommunication system by following manufacturer’s instructions for house phone and console operation.- Keeps a safe and clean reception area by complying with procedures, rules, and regulations.- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.- Contributes to team effort by accomplishing related results as needed.- Handling administrative requests and queries from Office Manager- Organizing and scheduling appointments with admin software- Planning meetings and taking details minutes- Anwer and direct phone calls- Organize and schedule appointments – Write and distribute emal, correspondence memos, letters, emails and forms- Assist the Office Manager regularly- Develop and maitian filing system and booking system as well- Update and maintain office policies and procedures- Order office supplies and research new deals and suppliers- Maintain contact lists- Book travel arrangements- Submit and reconcile expense reports- Provide genereal support to visitors- Act as the point of contact for internal and external clients- Liaise with the office manager to handle requests and queries from CEO and Office ManagerReceptionist Qualifications / Skills:- Presentable and Good looking – is a MUST- Telephone Skills- Verbal Communication- Listening- Professionalism- Customer Focus- Organization- Informing Others- Handles Pressure- Supply Management- Proven experience as an Administrative Assistant / Office Admin- Knowledge of office management systems and procedures- Working knowledge of office equipment, like printers , led screen etc.- Proficiency in MS Office (MS Excel and MS Powerpoint, in particular)- Execellent time management skilld and the ability to prioritize work- Attention to detail and problem solving skills- Strong organizational skills and the ability to multi-task as rceptionist- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant- Knowledge of office management systems and procedures – Working knowledge of office equipment, like printerand fax machines- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)- Excellent time management skills and the ability to prioritize work- Attention to detail and problem solving skills- Excellent written and verbal communication skills- Strong organizational skills with the ability to multi-task
