Lead Project Management Officer

Lead Project Management Officer (LPMO) supports the Corporate Services in division’s manpower planning using standard industry practices. This position would require processes analysis, understanding of the tasks interdependencies and skill set mapping according to job size and grades.
This role is also involved in implementing the division’s projects through standard project management practices and methodologies. The LPMO would be required to advise on deviations, escalate for any variations in project baselines and suggest improvements to currently implemented processes.
Accountabilities
Operational
Objective Analysis
Review the defined objectives, processes and operations of each department. Break down these into smaller, actionable tasks that can be measured and analyzed.
Task Dependencies and Drivers
Analyze each task to understand its dependencies on other tasks, internal or external factors. Collaborate with departments to identify the main drivers or factors that impact the frequency and duration of each task. Adjust task durations and frequencies based on these dependencies and drivers.
Time & Motion Studies
Conduct comprehensive time and motion studies to determine the duration and frequency of each task. Observe and record the time taken for each task, noting any variations and the reasons for them. Identify any inefficiencies or bottlenecks in the process and recommend solutions for optimization.
Job Sizing and Grading
Evaluate the tasks’ complexity, responsibility, and skill requirements to determine the appropriate job size. Use the results of the time and motion studies, combined with the job sizing evaluation, to assign a grade to each job position. Ensure that job grades reflect the responsibilities and complexities of the tasks associated with each position. Regularly review and update job sizes and grades to ensure they remain relevant and accurate as tasks and responsibilities evolve.
Process Improvement
Identify areas for improvement or automation to enhance efficiency. Work with stakeholders for process improvements. Collaborate with the systems team to develop IT solutions for process improvements.
Reporting and Documentation
Generate reports and dashboards using latest BI tools related various department operations and projects. Document proposed changes to standard operating procedures.
Project Management
Assist department in project delivery through effective project monitoring and control. Perform all the tasks necessary to keep a project on time and on budget, escalate deviations at appropriate time intervals to bring projects back on track Assist in preparing and distributing project schedules to concerned stakeholders, assign resources to tasks, and analyze how each component of project plan contributes to the project to best manage / oversee it to completion Ensure stakeholder management through establishing effective project communication processes.
Others
Implement best practices to ensure that proposed projects comply with occupational health and workplace safety guidelines Fulfil tasks and jobs delegated by department head to support the accomplishment of identified goals related to projects and operations carried out by the division Schedule meetings in addition to maintaining and distributing the minutes of meeting Build relationships and maintain a good rapport with all stake holders to gather and update information on project process Assist the department head with data collection, project proposal development, conducting research and development of incremental stages in project advancement Prepare/develop forms, templates, or other documents as requested by the department head Perform other department duties related to his/her position as directed by the Head of the department.
Data Protection
Ensure that any personal data obtained and processed is treated in accordance with data protection principles followed by the Group, as well as applicable Group policies and Procedures on data protection and information security Consult the Groups Data Protection Officer (DPO) officer prior to making decisions on the processing, storage, retention and deletion of professional data with regards to responding to Subject Access Requests (SARs) conducting data Protection Impact Assessment (DPIAs) and identifying any personal data breach, if there is no policy or procedure that provides adequate guidance.
