Job Overview: We are seeking a professional and organized Secretary Receptionist to join our team. In this role, you will be responsible for providing administrative support and maintaining a welcoming and professional reception area. As the first point of contact for our company, you will greet visitors, answer phone calls, and handle various administrative tasks. The ideal candidate should have excellent communication skills, be fluent in English, and possess a high level of professionalism and organizational abilities. This is a full-time position with a pay range of AED2500 to AED3000 per month.
Candidate Requirement
Greet and welcome visitors in a warm and friendly manner, ensuring they feel comfortable and attended to promptly.
Answer incoming phone calls, transfer calls to the appropriate staff members, and take accurate messages when required.
Maintain a clean and organized reception area, ensuring it reflects a professional image.
Manage incoming and outgoing mail, packages, and deliveries.
Schedule appointments and maintain calendars for the staff.
Perform general administrative duties, including photocopying, scanning, and filing doents.
Assist with travel arrangements, including booking flights, accommodations, and transportation for staff members.
Prepare and distribute correspondence, memos, and reports as directed.
Assist in coordinating meetings and conferences, including room bookings, catering arrangements, and audiovisual setup.
Maintain office supplies inventory and place orders when necessary.
Provide administrative support to various departments as needed.
Requirements:
Must be fluent in English, both written and spoken, to effectively communicate with visitors and staff members.
Previous experience as a secretary, receptionist, or in an administrative role is preferred.
Excellent organizational and time management skills to handle multiple tasks and prioritize accordingly.
Strong interpersonal skills and the ability to interact professionally with visitors and staff members at all levels.
Proficiency in using office equipment such as printers, scanners, and fax machines.
Proficient computer skills, including Microsoft Office Suite (Word, Excel, Outlook).
Highly presentable with a professional appearance and demeanor.
Must be a female candidate, as per company requirements.
