Job Description
Job Purpose:The Document Controller is responsible for managing and controlling documents, ensuring accuracy, quality, and compliance with company standards and relevant regulatory requirements. They play a critical role in maintaining an organized and efficient documentation system.Key Responsibilities:Document Management:Receive, review, and distribute incoming documents.Organize and maintain both physical and electronic filing systems.Ensure documents are labeled, categorized, and stored appropriately for easy retrieval.Version Control:Manage document versions, ensuring that all team members have access to the most current versions.Implement version control procedures to prevent unauthorized access to outdated documents.Distribution and Circulation:Distribute documents to relevant stakeholders within the organization.Track document circulation and receipt to ensure timely review and approval.Quality Assurance:Verify the accuracy and completeness of documents, ensuring they meet established quality standards and formatting requirements.Report any discrepancies or issues to the appropriate parties for resolution.Compliance and Regulation:Ensure that all documents adhere to relevant industry standards, company policies, and regulatory requirements.Monitor and update documentation procedures to align with changing regulations.Training and Support:Provide training and support to team members on document management processes and systems.Assist in resolving any document-related queries or issues.Archiving and Retention:Establish and maintain document retention policies in compliance with legal and regulatory requirements.Archive and dispose of documents as per established guidelines.Reporting:Generate regular reports on document status, distribution, and any outstanding actions.Provide insights and recommendations for process improvements.Software Proficiency:Proficient in using document management software and related tools to efficiently manage documents.Qualifications and Skills:Bachelor?s degree in Business Administration or equivalent work experience.Proven experience in document control or a related role.Strong organizational and attention-to-detail skills.Excellent communication and interpersonal abilities.Proficient in document management software and related tools (e.g., Microsoft Office, SharePoint, etc.).Familiarity with industry-specific standards and regulations (if applicable).
