Job Discription
Booking process:
– Online booking management system:
· Daily review
· Closing dates and flagging days needed to market
· Updating the prices, availabilities and informationReview affiliate sites booking and information
– Messaging:
· Replying to guest messaging on whatsapp and social media
· Push messages for guests
– Phone: Receiving guest calls
– Prepare the runsheet and communicate with the venue
– Manage and track influencer bookings
Sales Tracking:
– Preparing weekly sales report and forecast for Dubai operation
– Monthly follow up on sales results from overseas partners
– Sending monthly invoices to overseas partners and franchisees
– Preparing monthly sales reports for Dubai
– Follow up on collections of invoices
Private Events:
– Handle enquiries regarding private events
– Send proforma invoices
– Communicate with the venue
– Send invoices and follow up on collection
Finance & Book-keeping:
– Processing regular payments and refunds
– Recording and keeping track of all payments
– Preparing monthly reports for the accountant
– Manage and keep track of the company’s doentation
Props and Equipment:
– Keeping up to date lists of equipment and props
– Manage recurring props and consumables purchases
Research:
– Perform online research as requested
– Reach out to target alliances through introductory emails as required
Requirements:
– 3+ years of experience as administrative officer or administrative assistant;
– Excellent command of office programs and tools;
– Knowledge of finance and accounting;
– Attention to details and communication skills;
– Good command of English;
– Arabic language will be a big plus.
