Description:
Main Responsibilities:
1) Request, monitor, compile and cross check supplier quotes for projects and events based on the specifications and dimensions noted on the furniture list. This task should be done in conjunction with the Event Designer. Once this has been finalized and cross checked by Director of Operations, accountant to start budget process.
2) Once the budget has been approved by the client, with no further revisions, Event Coordinator to obtain approval from Director of Operations for all quotes, and then proceed to send out confirmations and book materials/services/vendors.
3) Preparation of set up and delivery schedules – once the set up and delivery timings have been agreed and approved by Director of Operations and Managing Director, these will then be forwarded to the Event Coordinator who will then forward on to suppliers along with a location map of the venue and a point of contact.
4) Communicate relevant information to hotels such as delivery schedules, contractor forms, and hotel lists. Hotel lists will be performed in conjunction with the Director of Operations.
5) Manage and arrange items and samples for mock ups – this task should be done in conjunction with the Event Designer/Warehouse Manager.
6) Maintain client binders. Ensure that files contain the most up to date presentations, furniture lists, production and floral briefs, as well as supplier quotes.
7) On-site management and coordination.
8) Event coordination.
Requirements:
1. At least 3 year’s experience as an event/wedding coordinator.
2. Well organized with excellent multi-tasking abilities and time management skills.
3. Outstanding vendor and people management skills.
4. Strong communication and interpersonal skills.
5. Passion for planning.
6. Problem solving skills.
