1. Leadership and Team Management:
· Supervise and lead the concierge staff, providing guidance, training, and support.
· Assign tasks and responsibilities to the concierge team members.
· Ensure the team adheres to company policies, procedures, and service standards.
2. Customer Service:
· Set the example for exceptional customer service by greeting and assisting clients, residents, and visitors.
· Address inquiries, concerns, or requests promptly and professionally.
· Oversee the follow-up process for inquiries and concerns to ensure client satisfaction.
3. Property Knowledge:
· Maintain a thorough understanding of the property layout, available units, and services offered.
· Keep updated on market trends and local knowledge to provide relevant information to clients and residents.
4. Access Control:
· Supervise access control procedures, including monitoring entry and exit of visitors and guests.
5. Reservation and Appointment Management:
· Coordinate reservations and appointments for property tours, inspections, and meetings with real estate agents or property managers.
· Oversee the scheduling of amenities such as gyms, spa facilities, or event spaces.
6. Maintenance and Property Management:
· Report maintenance issues and repair requests to the appropriate departments or maintenance teams.
· Oversee follow-up with residents or clients to ensure their concerns are addressed satisfactorily.
· Monitor and supervise planned preventive maintenance (PPM) and corrective maintenance (CM) work requests, ensuring accurate service reports are filled.
7. Administrative Tasks:
· Supervise administrative tasks, including record-keeping, data entry, appointment calendar management, and report preparation.
· Oversee the preparation and sharing of utility bills, incident reports, condition reports, corrective reports, maintenance reports, memos, and vacancy lists.
· Monitor water, electricity, and cooling meter readings, as well as the posting of notices and memos in the building.
8. Communication:
· Maintain clear and effective communication with property management, real estate agents, and other staff members.
· Keep records of interactions and relevant information.
9. Emergency Response:
· Supervise, lead and handle emergencies, such as fire alarms, medical situations, or security incidents, by following established protocols and contacting the necessary authorities.
10. Package and Delivery Management:
· Supervise the acceptance and management of incoming packages and deliveries on behalf of residents or clients.
· Ensure recipients are promptly notified of package arrivals and facilitate their pickup or delivery.
