Job Discription
•Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
•Attend meetings and keep minutes.
•Receive and screen phone calls and redirect them when appropriate.
•Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
•Make travel arrangements for executives.
•Handle confidential doents ensuring they remain secure.
•Prepare RFQ, LPOs and invoices .
•Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
•Maintain electronic and paper records ensuring information is organized and easily accessible.
•Conduct research and prepare presentations or reports as assigned.
Candidate Requirement
Qualifications
•Fluent in written and spoken English; knowledge of additional languages is a plus
•Bachelor’s degree in Business Administration or a related field
•At least 3 years of experience as an Executive Secretary or similar role
•Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines
•Proficient in Microsoft Office suite, including Word, Excel, and PowerPoint
•Excellent communication and interpersonal skills, with the ability to work effectively with executives, clients, and team members of all levels
•Ability to maintain confidentiality and handle sensitive information with professionalism and discretion
•Familiarity with office management procedures and basic accounting principles
