Job Description:
The job holder will provide secretarial and administrative support through effective and efficient management of daily calendar and operational activities while assisting Head of the Department in managing the time effectively and delivering official duties ensuring compliance and governance of all department documents.
Provide admin/ secretarial duties, maintain schedules- including scheduling travel and conferences, making appointments, and making changes to appointments, record and relay accurate timely messages from clients on telephones, email, and hand given and provide adequate information where needed to ensure proper communication between the teams.
Prepare and manage annual coordination calendars for business operational requirements (Project Reports, Cost Reporting, Senior Management Presentations and obtain approvals as per the DOA.
Assist and support section head with daily operations and duties and ensure smooth team engagement and gatherings as per departmental plan.
Tabulate and retrieve all official expenses on a regular basis through submission to the finance on time.
Implement accurate database and filling system to store departmental files and departmental documents in a confidential manner and maintain records of all departmental correspondence, documents & reports ensuring easy retrieval.
Co-ordinate and schedule departmental meetings, prepare meeting agenda, follow up on attendance and record minutes of meeting.
Follow-up on messages, issues and conduct various administration tasks through effective coordination thus ensuring on time completion of work in an effective manner.
Ensure that relevant management information is captured, analyzed and responded positively.
Handle business travel plans and arrangements including air tickets, hotel rooms and conference registering/ business meeting arrangements to ensure on time procurement of everything and thereby help in smooth move for him.
Collect and analyze information, prepare and submit reports presentations, letters, agendas, memos; routing to appropriate personnel in a timely and efficient manner.
Handle all internal and external correspondences to ensure follow up and dispatch of the same along with continuous follow ups on business requirement (meetings, reports, team KPI’s, etc.)
Coordinate with Stakeholders on assigned tasks by Line Manager Support functions with tracking, reporting, and internal communication and team concerns if any.
The contract is for 6 months, extendable depending on your performance and the business requirements.
Salary: AED 11,700 all in
Working days – Monday to Friday – hours – 8 to 5 or 6pm
