Job Discription
As an office b assistant, your primary responsibility is to assist with various administrative tasks to ensure the smooth operation of the office. Your duties may vary depending on the specific needs of the office, but generally include the following:
Office Maintenance: Maintain cleanliness and tidiness in the office, including common areas, meeting rooms, and kitchenettes. Perform routine cleaning tasks such as dusting, sweeping, mopping, and emptying trash bins.
Errands and Deliveries: Run errands outside the office, such as purchasing office supplies, delivering doents or packages to other departments or external partners, and handling any other tasks as assigned.
Office Supplies Management: Monitor office supplies inventory and assist in replenishing supplies as needed. Keep track of stock levels, submit purchase requests, and ensure that essential items are always available.
Mail Handling: Sort and distribute incoming mail and packages to the appropriate recipients. Assist in preparing outgoing mail, including packaging items and arranging for courier services when necessary.
Assisting Staff: Provide support to office staff as required, such as photocopying doents, filing paperwork, scanning files, and organizing doents or files.
Setting Up Meetings: Assist in setting up meeting rooms for internal meetings or client visits, including arranging seating, preparing audiovisual equipment, and providing refreshments as needed.
Office Security: Monitor access to the office premises, ensuring that only authorized individuals enter the premises. Report any security concerns or incidents to the appropriate personnel.
Miscellaneous Tasks: Assist in miscellaneous tasks as assigned by office management, such as helping with event planning, coordinating office events or activities, or providing support during office relocation or renovation projects.
Candidate Requirement
Candidates for the position of office boy should ideally possess the following qualifications and characteristics:
Educational Qualifications: High school diploma or equivalent educational background.
Basic Office Skills: Familiarity with office procedures and equipment, such as printers, scanners, and photocopiers.
Communication Skills: Good verbal communication skills to interact with colleagues and follow instructions effectively.
Organizational Skills: Ability to maintain cleanliness and orderliness in the office environment and keep track of office supplies.
Physical Stamina: Capable of performing physically demanding tasks, including lifting and moving office supplies, and standing or walking for extended periods.
Reliability: Dependable and punctual, with a strong work ethic and willingness to take initiative to complete assigned tasks efficiently.
Attention to Detail: Ability to pay attention to small details and ensure accuracy in performing tasks such as sorting mail or filing doents.
Adaptability: Willingness to assist with various tasks as needed, demonstrating flexibility and the ability to multitask in a fast-paced office environment.
Integrity: Trustworthy and able to maintain confidentiality when handling sensitive information or doents.
