Job Summary
The primary purpose of the Assistant Lease Administrator is to manage the administration function of the leasing department within obligatory and legal frameworks ensuring the creation and maintenance of all leasing agreements/contracts for all retail units including payment schedules and retail delivery communications.
Job Responsibilities 1
Coordinate with Leasing Managers to prepare the Lease Proposal, Memorandum of Understanding, Heads of Terms and Lease Agreements
Abstracts and enters Letters of Intent, MOU, Leases, Initial Lease Approval forms, amendments and other documents into Lease Administration database.
Maintain strong relation with Tenant Coordination team to keep and update the flow of retail leasing activities including the notification of signed units and modification on the location and terms.
Coordination of the Lease action items i.e. critical dates, planning, payments, start of work.
Facilitating the approval of LLD’s and LOD’s between Leasing and Operations
Ensure Leasing Dept. have provided all necessary documents to prepare and complete the file for MOQ signature and to advise Leasing Dept. accordingly
Supports Leasing Department with preparation of various Leasing documents and reports in relation to Leasing strategy and spread sheets.
Building and updating on regular basis, with the input of the Leasing Manager Potential Tenants waiting list with full content details for Leasing Director’s future use at any stage.
Create and maintain system of tracking expiration dates of leases. Tracking of all changes or adjustments necessary to lease documents received. (Amendments, Addendums, etc.)
Serve as liaison between Landlord and Tenant with regard to each party’s compliance with all provisions of the lease.
Prepare and follow a continual audit schedule for all exisiting lease documents in the portfolio.
Coordinate monthly AR meetings and work with leasing team to ensure rent and other income are collected in a timely fashion and review lease for compliance.
Work with leasing to ensure other income from kiosks, parking, signage promotional spaces, light boxes etc. are collected in a timely fashion.

• Strong problem solving skills coupled with the ability to work independently and effectively manage concurrent tasks required
• Advanced PC skills and Microsoft Office, including advanced Excel skills
• Strong organizational skills with the ability to successfully manage multiple priorities
• Superior interpersonal skills, negotiating skills, and problem solving ability
• Excellent written and verbal communication skills to communicate effectively with staff, landlords, and corporate managemen
• ERP knowledge preferably SAP functional skills are a requirement to be successful in this role.
